How verification works

What each status on a Qualia profile means and who can change it.

Experience entries

An experience entry records a member's time on staff in one ER:LC community: the community's name, the department if there was one, and each position they held there with its dates. A promotion is a new position on the same entry, not a new entry.

Members write their own entries. Every new entry starts as Unverified.

The five statuses

Each entry shows exactly one of these.

Unverified
This entry was added by the member. The community has not confirmed it.
Pending
The member asked the community to confirm this entry. It has not been reviewed yet.
Verified
Confirmed by an authorized representative of this community.
Disputed
The member and the community disagree about the details of this entry.
Verification revoked
The community withdrew its verification of this entry. A revocation does not by itself indicate misconduct.

What “Verified” means

Verification means an authorized representative of the community confirmed the entry. Qualia does not independently investigate claims.

Qualia keeps a record of who confirmed the entry and when. A verification is not a reference: it says nothing about how well the member did the job or why they left, and it is not an endorsement by Qualia.

A verification covers the entry as it stood when the community confirmed it. If the member later changes the community, the department, or any position or date, the entry returns to Unverified and has to be confirmed again. Editing the entry's description does not change its status.

Revocation

A community can withdraw a verification it gave, for example if it was given in error or the community's records change. The entry then shows Verification revoked.

A revocation does not by itself indicate misconduct. The history is kept: the original verification and its revocation both stay on record.

Disputes

If you disagree with a community's decision, talk to its staff first. Unless the verification was revoked, you can edit the entry and ask again; every request and decision stays in the entry's history.

If you believe a community is acting in bad faith, contact Qualia. We look at the record and can hide or remove entries that break the Guidelines.

Who can verify

A community is registered on Qualia by someone who manages its Discord server. That person, and the reviewers they add on Qualia, can verify entries on the community's behalf. Qualia's administrators can also decide requests for any registered community, for example when its reviewers can't, and can set an entry's status directly; their decisions are recorded as made by a Qualia administrator. Nobody else can.

Discord roles and role names never grant this on their own: holding a role called “Management” or “Verifier” in a community's Discord server does not let anyone verify on Qualia.

Reading a profile

Unverified does not mean false. Every entry starts that way, and many communities are not on Qualia yet. If you are reviewing a staff application, treat Unverified entries as the applicant's own account, and ask the community directly when you need more than a verification can tell you.

Reporting fake experience or impersonation

If you think an entry is made up, or that a profile is impersonating someone, report it as described in the Community Guidelines.
